    Transferring Student Registration

    If your child is transferring from another Gwinnett County school to Gwin Oaks, please withdraw from the current school and come to Gwin Oaks with withdrawal paperwork and residency info.

  • Summer Registration for 2020-2021 due to COVID-19

    April 2020: Due to COVID-19 school closures, the registration process for Gwinnett County Public Schools has changed.

    1. Parents will complete the online registration process on the GCPS website.

    2. During the online registration process, parents will upload required documentation.

    Directions for uploading documentation during the online registration process can be found here.

    3. Upon completion of the online registration process by the parent, the school will contact the parent virtually to verify that everything has been completed and the required documentation has been submitted.

    4. Once registration is verified as complete, the school will assign a student to a class. This information will be communicated to the parent by a school administrator.

    At this time, the administrator will also explain the process for completing digital assignments. A username and password will also be provided for the student.

  • 2020-2021 New Student Registration

    Although Gwinnett students are currently learning digitally, Gwinnett County Public Schools (GCPS) is busy planning for our students’ return and for the 2020-21 school year. With that in mind, GCPS will open online registration for new kindergarten students on Tuesday, April 7, 2020.

    Parents and guardians of children who will be five years old on or before September 1, 2020, are encouraged to begin the registration process by following the directions below.

    Parent Information for Kindergarten Registration (April 7, 2020)

    1. Parents will complete the online registration process on the GCPS website.

    2. During the online registration process, parents will upload required documentation.

    Online Withdrawal Form

    We wish your child the best during the transition to a new school. Our school system has an easy-to-use, secure online withdrawal process that will allow you to complete the form required for withdrawing your child.

    Once you complete and submit the online withdrawal form, you will be contacted by a school representative to verify your ID and to provide you with any additional information necessary to complete the withdrawal if needed for your child.

    If using a browser (Chrome, Safari, Firefox) other than Internet Explorer (IE), in order to complete the form and submit it, you will need to do the following steps:

    Withdrawal Completion Process

    1. Parents will complete and submit the withdrawal form by following the directions above.

    2. Upon completion of the withdrawal form by the parent, the school will review the form and will contact the parent, if needed, for any missing information.

    3. The school will contact the parent to set up a virtual meeting to verify the identity of the withdrawing parent.

    4. After verifying the identity of the withdrawing parent, the school will email the parent prior to sending the completed withdrawal form. This initial email will provide parents with directions on how to open an encrypted PDF message sent by Gwinnett County Public Schools (GCPS).

    5. The school will finalize the withdrawal process by securely emailing the encrypted withdrawal form.

    6. An Enrollment Verification Form will also be included in this email. This form should be completed by the student’s new school and faxed back to Head Elementary to complete the process.

  • Step 1

    Fill out the ONLINE REGISTRATION. This can be done at any time of the day. Please do NOT complete the online registration for current Gwin Oaks students.

  • Step 2

    When you visit your school to complete registration, please bring:

    • Your child
    • Official documentation showing proof of birth date. Examples include an original birth certificate or birth registration, an official state or federal form with date of birth, or passport. Parents can order a birth certificate for a child born in Georgia through the state's ROVER service for a fee.
    • Proof of residency in the attendance zone. Proof of residency in attendance zone. The school requires proof of residency, which may be verified by presenting a current utility bill (excluding telephone bills) AND one of the following documents:
      • a non-contingent sales contract
      • current lease/rental agreement
      • most recent income tax return
      • current paycheck stub
      • current residential property tax statement or bill
      • current warranty or quitclaim deed
      • current home purchase agreement
      • current homeowner’s insurance policy
    • A Georgia certificate of immunization (Ga. Form #3231). Out of state immunization forms must be transferred to the Georgia form. This can be done by either a pediatrician's office or the Gwinnett County Health Department
    • Evidence of Vision, Hearing, Dental, and Nutrition Screening (Form #3300R) obtained in the last year. This information must be on the Georgia Form, completed by a physician and dentist or the Gwinnett County Health Depart
    • A photo ID
    • Proof of custody/guardianship nship (If not birth parent)
    • The child’s social security numberard (or sign Waiver on Enrollment)
  • Step 3

    Open a free account at MyPaymentsPlus(must have student ID number- 20xxxxxxx). This is used to pay for field trips, meals, and other items.

  • *Withdrawal Procedures

    Please do the following to withdraw your child:

    • Notify the teacher at least a week before the child is to withdraw.
    • A Record of Pupil Withdrawal form will be sent home on the last day of attendance and should be given to the new school upon enrollment.
    • When you arrive at your new school, you should sign a Records Release form, which the new school will mail to Gwin Oaks. We will then forward the records to them. Copies of a student's educational record may be transferred to officials of other schools or school systems in which the student seeks to enroll. Unless parents express at the time of enrollment in the Gwinnett County Public Schools a need for additional notice of transfer of student records, the records to the enrolling school or school system will occur without further notice.
